At ZinVolt, we handle personal data with care. In this privacy policy, we explain what personal data we process, why we do it, on what basis we do it, with whom we share data, how long we store data, and what rights you have.
This privacy policy applies to our website, webshop, customer service, marketing communications, the ZinVolt app, connected products, digital services, and other contacts with ZinVolt.
1. Who is responsible for the processing of personal data

2. When this privacy policy applies
This privacy policy applies when you:
- visit our website or webshop;
- place an order, request a quote, or request advice;
- contact us via email, phone, WhatsApp, chat, or a form;
- subscribe to a newsletter or other marketing communication;
- create or use a ZinVolt account;
- use the ZinVolt app;
- activate or use a ZinVolt product, P1 dongle, smart meter, or other connected hardware;
- make use of service, warranty, installation, repair, or technical support;
- participate in a promotion, review, survey, referral program, or other promotional activity.
3. What personal data we process
The personal data we process depends on how you interact with ZinVolt.
We may process, among others, the following personal data:
- contact details: name, email address, phone number, address, city, and other data you provide to us;
- order and administrative data: order number, products, quantities, price, payment status, invoice details, delivery details, return details, warranty details, and information necessary for our administration;
- payment details: information about the chosen payment method, payment status, refunds, and data required to process payments or prevent fraud. Full payment card details are normally processed directly by the payment provider;
- account data: username, user ID, linked email address, account status, settings, permissions, and information about logging in or account security;
- communication data: the content of emails, WhatsApp messages, chats, phone calls, forms, and other communication. This may also include photos, videos, documents, serial numbers, and technical files that you provide to us;
- technical data: IP address, browser type, device type, operating system, language settings, time of use, log data, error messages, session data, cookie IDs, and other technical signals from our website, app, or systems;
- website data: visited pages, clicks, shopping cart actions, purchases, origin of a visit, campaign data, interactions, preferences, and data about website usage;
- app data and product data: device status, serial number, product type, connection information, firmware version, settings, system notifications, error codes, charging status, battery status, performance data, and other data required for a ZinVolt product or digital service to function;
- energy data: data about energy consumption, feed-in, charging behavior, discharging behavior, stored energy, smart meter data, and other energy-related information insofar as it is processed within the ZinVolt app or a linked service;
- location data: precise or approximate location data when you have given permission for this and when these data are necessary for a function within the app, linking a product, setting up a service, or technical support;
- marketing data: newsletter status, campaign interactions, advertising data, preferences, interests, and data used to measure or make marketing more relevant.
4. How we obtain personal data
We obtain personal data:
- directly from you when you enter data, create an account, place an order, or contact us;
- automatically when you use our website, app, or linked products;
- through cookies and similar technologies;
- through Shopify and other service providers necessary for our webshop;
- through payment providers, carriers, installers, service partners, or other parties involved in an order or service;
- through Google, Meta, Klaviyo, and other marketing or analytics partners insofar as legally permitted;
- through linked devices, the P1 dongle, smart meter, firmware, cloud environment, or other technical systems;
- from public sources when necessary and permitted.
5. What we use personal data for
We use personal data for the following purposes:
- processing orders, payments, shipments, returns, invoices, installation, service, warranty, and repairs;
- creating, managing, and securing accounts;
- linking, operating, monitoring, and supporting ZinVolt products;
- processing product data and energy data for insights, control, monitoring, optimization, and fault analysis;
- answering questions and retrieving past communications;
- preventing and investigating abuse, fraud, unauthorized access, technical disruptions, and other security risks;
- improving our website, app, products, customer service, and communication;
- complying with tax, administrative, consumer law, and other legal obligations;
- sending necessary messages about orders, payments, delivery, safety, maintenance, updates, recalls, warranty, and malfunctions;
- sending newsletters, offers, and other marketing communications when there is a valid basis for it;
- measuring and improving campaigns, website usage, and communication when consent is required and has been given.
6. On what basis we process personal data
We only process personal data when there is a valid legal basis for it. In practice, these are usually one or more of the following bases:
- performance of a contract: when data is necessary to fulfill an order, account, product, app function, service, or other agreement;
- legal obligation: when we are required to store or provide data due to laws and regulations;
- consent: for certain cookies, marketing activities, precise location data, and other functions for which consent is required;
- legitimate interest: including for customer service, security, fraud prevention, internal analysis, product improvement, business operations, and establishing or defending legal claims. We always assess whether your interests and fundamental rights outweigh ours.
When we process personal data based on consent, you can withdraw that consent. The withdrawal does not affect processing that took place lawfully before the withdrawal.

Necessary cookies
These cookies are required for the website, webshop, shopping cart, security, payments, and other basic functions to work properly. No consent is required for these cookies when the law permits.
Analytical cookies
These cookies help us understand how visitors use the website. This allows us to improve pages, information, and the user experience.
Advertising cookies
These cookies help us measure campaigns, make advertisements more relevant, and understand which marketing activities yield results.
For analytical and advertising cookies, we ask for consent when legally required.
We may use services from Shopify, Google, and Meta, among others, for analysis, advertising measurement, and marketing. These parties only receive data insofar as permitted by the consent you have given via our cookie banner and applicable law.
8. Shopify and Shopify Network Intelligence
Our webshop runs on Shopify. Shopify processes data necessary for, among other things, the operation of the webshop, checkout, payments, security, fraud control, orders, and customer accounts.
Shopify Network Intelligence is enabled. Shopify can combine data from our webshop with data from other Shopify services to support security, personalization, store performance, product improvement, and advertising measurement.
Within the European Economic Area, this processing only occurs insofar as there is a valid basis for it. For certain processing, Shopify may be an independent data controller.

9. With whom we share personal data
We only share personal data when necessary for our services, when legally required, or when you have given your consent.
We may share data with:
- Shopify for webshop, checkout, payments, customer accounts, security, and order processing;
- Google for Google Analytics, Google Ads, Merchant Center, YouTube, and other linked services;
- Meta for Facebook, Instagram, ad measurement, and campaign functionality;
- Klaviyo and other communication partners for email marketing and customer communication;
- Microsoft for email, documents, and business communication;
- WhatsApp and providers of WhatsApp widgets for communication with customers;
- affiliate partners and platforms such as GOAFFPRO for referral and affiliate activities;
- payment providers, banks, and parties that process payments or prevent fraud;
- carriers, warehouses, installers, technicians, repairers, and service partners;
- hosting providers, cloud providers, app developers, hardware suppliers, and technical service providers;
- providers of forms, reviews, chat, website functionality, and customer service;
- accountants, lawyers, insurers, and other professional advisors;
- supervisory authorities, law enforcement agencies, or other authorized parties when we are legally obliged to do so.
When a party processes personal data on our behalf, we make agreements regarding security, confidentiality, retention periods, and the use of personal data where necessary.
We do not sell personal data for payment. Certain forms of data sharing may be considered sharing for targeted advertising under foreign law.
10. International transfer of personal data
Some service providers process personal data outside the European Economic Area.
When personal data is transferred internationally, we ensure appropriate safeguards. This may happen based on an adequacy decision, standard contractual clauses, or another legally permitted transfer mechanism.
11. How long we store personal data
We do not store personal data longer than necessary for the purpose for which it was collected. A longer period may apply when legally required or necessary for security, warranty, disputes, or legal claims.
In general, we apply the following principles:
- order data, invoices, and financial administration: we generally store this data for seven years. Data covered by a special tax regime may be stored for ten years;
- account data: we store this data as long as the account is active. After a valid deletion request, we delete or anonymize data that is no longer needed within a reasonable period. Data in backups may remain longer until the normal backup cycle has expired;
- warranty, service, and technical support: we store this data as long as necessary for legal conformity, commercial warranty, service, repair, safety, and potential disputes. For products with a longer warranty period, this retention period can be several years;
- customer service: we store regular communication as long as necessary to handle the request. Communication relevant to an order, warranty, complaint, dispute, or product safety may be stored longer;
- newsletter and marketing: we store this data until you unsubscribe, withdraw your consent, or we determine that the data is no longer needed. We may keep a minimal blocklist to prevent you from receiving unwanted marketing again;
- cookie preferences and consent data: we store this data as long as necessary to implement your choice and to demonstrate that consent was validly obtained;
- analysis and advertising data: this data is stored according to the set retention periods of the platforms used. We do not set these periods longer than reasonably necessary;
- security and log data: we store this data as long as necessary for security, error investigation, and fraud prevention. In the event of an incident, relevant data may be stored longer.
12. The ZinVolt app and connected products
The ZinVolt app can process data necessary to link, operate, monitor, secure, and support a product.
This may include, among others, the following data:
- account data;
- serial numbers and product identification;
- firmware and software versions;
- battery status, charging status, and system status;
- energy consumption, feed-in, storage, and charging behavior;
- error codes, notifications, and diagnostic data;
- information from a P1 dongle or smart meter;
- IP address, device data, and connection information;
- location data when you have given permission for it.
Energy data can provide insight into energy usage within a household. Therefore, we treat this data carefully and limit access to employees and service providers who need this data.
Location data is only used for the purpose for which permission has been given. You can withdraw location access via your phone's settings. Certain functions may then work less effectively.
Data processing within the ZinVolt app must align with the information provided in Google Play, Apple App Store, and other relevant app stores.
13. Account deletion
You can request the deletion of your ZinVolt account and the associated personal data.
To do so, send an email to info@zinvolt.com with the subject "Account deletion." Preferably use the email address linked to the account. State your name, the linked email address, and your user ID if you can find it.
We may ask for additional information to verify your identity and prevent misuse.
After a valid request, we will delete or anonymize account data that is no longer needed. Certain data may be stored longer when necessary for tax obligations, warranty, product safety, fraud prevention, administration, legal claims, or handling a dispute.
If the ZinVolt app offers a deletion function in the account settings, you can also use that function.
14. How we secure personal data
We take appropriate technical and organizational measures to protect personal data against loss, misuse, unauthorized access, alteration, and unlawful processing.
These include access restrictions, secure connections, authorisations, logging, management measures, updates, backups, and agreements with service providers.
No system is entirely without risk. We therefore regularly review our security measures and adjust them as necessary.
15. Newsletters and marketing
We send newsletters and commercial messages when there is a valid basis for doing so.
An order does not automatically mean that you consent to all marketing communications.
You can unsubscribe via the unsubscribe link in an email or by contacting us at info@zinvolt.com.
Service messages about an order, account, security, update, recall, malfunction, or product are not marketing messages. These messages may be necessary to fulfil an agreement or to comply with legal obligations.
16. Automated decision-making
ZinVolt does not make decisions based solely on automated processing that have legal consequences for you or significantly affect you in a similar way.
However, we may use automated systems for security, fraud prevention, personalisation, analysis, and advertisement measurement. We take appropriate measures when necessary.
17. Your rights
You have various rights under privacy legislation.
You can ask us to:
- access the personal data we process about you;
- correct inaccurate or incomplete data;
- delete personal data when we no longer need to store it;
- restrict processing in certain situations;
- transfer data when the right to data portability applies;
- object to processing based on a legitimate interest;
- withdraw previously given consent;
- information on how we process your personal data.
We may request additional information to verify your identity. We will respond within the legal period. If a request is complex or if we receive many requests simultaneously, that period may be extended by law. In that case, we will inform you.

You also have the right to file a complaint with the Dutch Data Protection Authority if you believe that we are not processing your personal data correctly.

We may amend this privacy policy if our services, app, products, systems, or legal obligations change.
The most current version is available on our website. For significant changes, we may additionally inform you via the website, app, or email.
